Supplier-related FAQs

[ top ] What is the difference between BidSync and BidLync?

BidSync is a bid (solicitation) notification system that includes solicitations from BidSync agency members. Many of these solicitations accept electronic responses (offers) and are free for the general public to access. Please remember that some agencies charge a transaction fee.

BidLync is a subscription-based service that notifies recipients of current solicitations from agencies not using the BidSync procurement application. BidLync recognizes and notifies companies of 40 thousand new solicitations each month from agencies across the country.

[ top ] How long has BidSync been around and where are you located?

BidSync entered the e-Procurement industry in 1996, and our current system was launched in 2002. BidLync was introduced in 2005. BidSync is currently located in American Fork, Utah.

[ top ] Do I have to be logged in to review the solicitation sent in the notification email?

Email notifications are automatically sent to each registered member, but beyond the bid title and location you must be logged in to view the bid information.

[ top ] How can I edit my profile and settings?

Once you are logged in, select the tools link, and make changes as needed. For further assistance, call our vendor support line at 1-800-990-9339. Operator hours are from 7 AM to 6 PM MST.

[ top ] Why would I pay for this service if I can find all of the solicitation for free online?

All public information is available at no charge, if you can find it. BidSync sends the information directly to you eliminating the need to search for the solicitations that apply to you, saving companies thousands of dollars a year.

[ top ] Will I have to pay BidSync if I win the bid on BidLync?

No, there is no fee from BidSync for being awarded a solicictation, but please remember some agencies may apply a transaction fee.

[ top ] Why can I see some solicitations and others I can't?

Bids posted by most of our BidSync agency members are free to view and respond to. However, some solicitations are only accessible with a subscription to BidLync.

[ top ] Can my entire company access the service if I subscribe?

Yes. There is no limit to the number of users per company.

Agency-related FAQs

[ top ] How can I get my vendors registered with BidSync?

Vendors can be entered into BidSync several ways including direct entry by the agency or Vendor, or BidSync will often import the information from the agency database. (Even if the Agency or BidSync adds them, they won't be registered. They still have to do that themselves)

[ top ] Who is using BidSync and what types of agencies are they?

BidSync is used by public and private agencies across the country including but not limited to: Princeton University, City of San Jose, City of Chicago, City of Miami Beach, Orange County California and the State offices of Utah and California. (See our Agency List.)

[ top ] When creating a solicitation, can I attach documents?

You are able to attach any number of documents (no limit), and file type or size of document.

[ top ] How many users can I have on the BidSync system?

There is no limit the number of users your agency can employ on the system. The State of California has over 5000 users.

[ top ] How are vendors notified of new solicitations?

Each registered vendor will receive an email or fax notification in his or her email once a solicitation has been posted. Each notification is based on the vendor's registered commodity code(s) in their company profile.

[ top ] Who has access to this program once my agency begins using it?

The agency will determine each user that has access to BidSync, and what permissions or access he/she will have.

[ top ] What support is available to the agencies using BidSync?

Email and Call center support is available from 7:00 a.m. to 6:00 p.m. MST.

[ top ] When I begin using this system, how many vendors will I have access to?

There are currently over 350,000 registered vendors using BidSync.

[ top ] How are you different from your competitors?

BidSync is unique in the fact that we offer both e-Procurement products (to agencies) as well as a bid notification service to our vendors. Most companies in our industry will only offer one or the other.

[ top ] How does BidSync address the issues of security, compliance and maverick spending?

Automatic email and fax notifications will speed up the approval process and create electronic approval trails that will ensure all processes and budgetary compliances are being correctly followed. The system also allows for multiple levels of approval.
